Job Description: The TRAIN Program is designed to support long-term unemployed, under-employed and new entrant adult workers who seek to enter/reenter the workforce and address the workforce shortage. The Program Coordinator is responsible for managing the functions of the TRAIN Program and to provide support to Community Education Staff. Essential Functions: - Order and track student course materials and textbooks including stipends - Coordinate program schedule and delivery - Develop and maintain student and partner records and databases - Coordinate and complete student intake assessments - Prepare and maintain student class lists, individual records, enrollments, attendance, completions and job placements - Coordinate student certificate process - Prepare instructor packets and contracts, supervise instructors and course content delivered - Make appropriate referrals for students for support services including childcare and transportation - Assist in the preparation of marketing materials such as advertisements, brochures, and flyers including proofreading and editing - Develop and maintain mailing lists; coordinate mailings of marketing materials - Manage, track and maintain budget records and reports for grant - Receive and respond to inquiries via telephone, mail, email and/or personal contact and document these inquiries - File paperwork associated with correspondence, registrations, grant fund and payroll documents accurately - Work with students to provide general support and supply information about the TRAIN grant, non-credit and corporate programs - Coordinate employer job fair and graduation ceremony - Assist students with job placement - Other duties as assigned Requirements: - Bachelor's degree and a minimum of 3 years' experience in program administration - Proficient computer skills with substantial experience in using Word, Excel, and Outlook - Experience working in an academic environment with a basic understanding of the potential barriers experienced by students - Strong oral and written communication skills - Excellent customer service skills - Strong organizational skills and planning ability Preferred Qualifications: - Master's degree - Strong interpersonal, collaborative, and administrative skills - Demonstrated commitment to working with diverse populations - Professionalism demonstrated through telephone, face-to-face, and written communication - Ability to recognize and protect sensitive/confidential data and information - Competency in-office procedures including accounts payable and general payroll processes - Ability to take initiative and to seek out information based on student needs - Experience with databases Additional Information: Part-time, non-benefitted temporary position. This is a grant-funded position and is funded for 32 weeks.
