Job Title: Patient Coordinator
Department: Non-Clinical Staff
Reports To: Practice Administrator
Location(s): Brockton, MA
Pay Status: Full Time / Hourly Non-Exempt
Position Summary:
The incumbent provides clerical and administrative support and
coordinates multiple patient care activities for the practice.
Responsible for coordinating all aspects of patient scheduling,
acts as the initial point of contact for all patients and visitors
and manages all incoming telephone calls in a professional
manner.
Principal Duties & Responsibilities:
Opens the front office at the designated time each day and ensures
the readiness of the reception area, and that the front desk
activities are fully operational and maintains a neat and organized
waiting room.
Answer multi-line telephone system, take accurate and detailed
messages, screen, and direct telephone calls to the appropriate
person in an efficient manner.
Politely greet and identify patients and visitors as they enter the
office and obtain additional patient information as needed.
Communicate unexpected delays when necessary.
Collect copays at time of office visits in accordance with the
patient's insurance plan and enter transactions into the
computer.
Schedule patients for appointments in an efficient and productive
manner.
Oversees patient check out including follow up appointments and
coordination of testing if needed.
Receive and review all new patient referrals and ensure accuracy of
demographic and insurance information. Obtain additional
information from patients or referral source as needed.
Responsible for verifying patient insurance and confirming benefit
eligibility via eligibility tool or phone call to the insurance
carrier.
Request referrals, follow up on any pending referrals and make sure
they are obtained prior to the patient's appointment.
Review patient charts to ensure proper documentation and
information are enclosed in accordance with the practice
guidelines.
Acquire necessary medical records and documents for patient charts
by communicating via telephone, facsimile or in person with other
office locations or office personnel.
Scan documents into the appropriate sections within the patient
chart.
Prepare medical records requests received from patients and
attorneys.
Make copies, fax documents, and shred documents as needed
throughout the day.
Monitor and order inventory office supplies and items needed for
front desk operation.
Adhere to all HIPAA regulation guidelines at all times.
Required Experience, Education & Licensure:
The incumbent must possess a minimum education of a High School
Diploma or equivalent with a minimum of 1-2 years of related
medical office experience. Strong customer service skills and
telephone etiquette. Excellent organizational skills and ability to
multitask in a fast-paced environment. Able to work under pressure
and handle difficult situations in a professional manner. A working
knowledge of EMRs, email, Microsoft Office products, data entry and
other business office systems is required. Must have sound oral and
written communication skills, attention to detail and a strong
sense of customer/patient focus. Must be a team player willing to
accept and promote the goals of the Practice. Knowledge of
Medicare, Medicaid and other commercial insurances and insurance
eligibility preferred.
